This Privacy Policy describes how Alex Sears CPA LLC ("we", "us", "our") collects, uses, and protects your information when you use Job Pipeline ("the Service") at jobs.alexsears.org and the Job Pipeline Chrome extension.

1. Information We Collect

Account Information

• Email address: Used for authentication (passwordless login via email code), account identification, and service communications.
• Name: Optional, provided during onboarding for personalization.

Profile and Job Data

• Resume/profile text: The professional profile you enter, used to match against job descriptions.
• Job URLs and descriptions: The job postings you submit for analysis.
• AI analysis results: Match scores, generated resumes, cover letters, and other analysis output stored in your account.
• Notes: Any personal notes you add to job entries.

Payment Information

• Payment processing is handled entirely by Stripe. We do not store your credit card number, bank account details, or other payment credentials on our servers. Stripe may collect information as described in Stripe's Privacy Policy.

Technical Information

• Session cookie: A single session cookie is used to keep you logged in. We do not use tracking cookies, analytics cookies, or advertising cookies.

2. How We Use Your Information

• To provide and operate the Service (job analysis, resume generation, cover letter generation)
• To authenticate your account and maintain your session
• To process payments through Stripe
• To communicate with you about your account or the Service

3. AI Processing Disclosure

When you submit a job description for analysis, your job description text and professional profile are sent to third-party AI services for processing. We currently use:

• Anthropic (Claude): For job analysis, resume generation, and cover letter generation.

This data is sent to the AI provider's API for real-time processing and is subject to their data handling policies. We do not use your data to train AI models. The AI providers process your data solely to generate the requested analysis and do not retain it for training purposes under our API agreements.

4. Chrome Extension

The Job Pipeline Chrome extension:

• Collects page text only when you explicitly click the "Capture" button. The extension does not run in the background, does not monitor your browsing activity, and does not collect data from any page you do not actively choose to analyze.
• Sends the captured text and page URL to the Job Pipeline API for analysis.
• Requires your API token (from your account settings) to authenticate requests.
• Does not collect or transmit any data beyond what is described above.

5. What We Do NOT Do

• We do not sell your personal data to anyone.
• We do not share your data with third parties for marketing purposes.
• We do not use tracking cookies, analytics trackers, or advertising pixels.
• We do not perform background data collection through the Chrome extension.

6. Third-Party Services

We share data only with the following third parties, solely for the purposes described:

• Stripe: Payment processing for Pro subscriptions.
• Anthropic: AI analysis of job descriptions and profile data.

7. Data Retention and Deletion

We retain your data for as long as your account is active. You may:

• Delete individual jobs from your dashboard at any time.
• Delete your entire account and all associated data by contacting us at [email protected]. We will process deletion requests within 30 days.

8. Your Rights (CCPA / GDPR)

Depending on your location, you may have the following rights regarding your personal data:

• Right to Access: Request a copy of the personal data we hold about you.
• Right to Delete: Request deletion of your personal data and account.
• Right to Export: Request a portable copy of your data.
• Right to Correct: Update or correct inaccurate personal data through your account settings.
• Right to Opt Out: We do not sell personal data, so no opt-out is necessary.

9. Data Security

We implement reasonable security measures to protect your data, including encrypted connections (HTTPS), secure session management, and restricted access to stored data. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

The Service is not directed to individuals under 16 years of age. We do not knowingly collect personal information from children.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by posting a notice on the Service.
